Authorize the Town Manager to execute a contract in an amount not to exceed $79,272.00 with Corgan Architecture and Interior Design for a Space Needs Assessment.
Background
SUMMARY STATEMENT:
In FY16 the Town of Paradise Valley budgeted $100,000 to build office space for the Town’s Information Technology work group. This consisted of 3 offices, storage, a meeting area and a work bench. This office area was designed and laid out to be constructed within one half of the Community Room. Upon further examination it was felt that this was not the best use of the Community Room space. Consequently, the Town Manager redirected the funds towards determining how to fit existing, and future employees into existing space at Town Hall, Public Works and the Police Department.
This resulted in a request for proposal (RFP) for a space needs assessment. The assessment has three distinct tasks. The first task is to evaluate how much space is needed by existing employees and projected employees over the next 10-20 years. The second task is to understand how existing buildings can meet those space needs. The third task is to analyze work flow to arrange the work spaces within existing buildings in a way that improves customer service and maximizes efficiency.
The Town received five proposals for these services. The firms’ written submittals were reviewed and scored by a six member panel. The top two firms were invited back to present their proposal verbally and submit to questions and answers. Based upon this process, Corgan Architecture and Interior Design was selected as the best proposal. The Corgan proposal anticipates a 4-5 month schedule.
BUDGETARY IMPACT:
A total of $100,000 was budgeted. The proposal is for $72,065 with a 10% contingency ($7,207).
