Recommendation

Authorize the Town Manager to renew a contract for solid waste removal services with Sonoran Waste L.L.C. for FY 2016/2017 in an amount of $28,700 and to exercise up to three one-year renewal options.

Background

 

SUMMARY STATEMENT:

A total of four (4) roll off containers are used to discard debris from the Town complex and the Town’s rights of way (ROW).

 

                     Two (2) of the roll off containers are used for the collection and removal of solid wastes such as asphalt, rock, street sweepings and other debris from the Town’s rights of way (ROW) are also discarded into the containers for removal.

 

                     One (1) roll off container is designated for the collection and removal of green waste materials such as trees, tree trimmings and tree branches.

 

                     One (1) roll off container is designated for the collection and removal of paper and plastic recyclable materials.

 

The Town will take advantage of the prices quoted through the use of cooperative purchasing. The vendor currently has a contract with Arizona State University which was competitively bid and allows for cooperative purchasing.

 

The Town utilized this contract last year and seeks to renew it for FY 2016/2017.  In addition, staff seeks authorization to exercise, at the Town’s option, the three one-year extensions authorized pursuant to the agreement with Arizona State University, including any price adjustments.  Sonoran Waste Disposal performs reliable, quality waste removal services. The Town staff is satisfied with the work performed by Sonoran Waste Disposal.

 

BUDGETARY IMPACT:

Expenditure: $28,700. (Annually)                                                                                     

Amount Budgeted: $28,700 (FY 2016/2017).

 

In the FY 16/17 operations budget this line item was budgeted for $28,700. After analyzing previous year’s expenditures, the true cost of this contract is dependent upon actual tonnage of material hauled off site which may vary due to the amount of debris generated by weather events.
